Quick start for admins

⏱ About 25 minutes, plus admin approvals👤 Admins and owners

Five steps to set Grw up for the whole team: invite people, connect the company tools, decide how meetings are recorded and who sees them, turn on workflows for everyone, and lock what Taylor can do in each tool. After the first week, see every action Taylor takes. Each person then follows the Quick start.

Step 1 · 3 minutes

Invite your team

Where: Invite Team, bottom left of the sidebar
  1. Enter email addresses and pick a role for each: Member, Manager, Admin or Owner.
  2. Send. Pending invites stay listed until accepted.
  3. Open Settings › Teams and create your teams. A team lets you roll a workflow out to everyone on it in one go, and gives its leader visibility of the team's calls, deals and workflows.
Step 2 · 10 minutes

Connect the company tools

  • Personal (calendar, email): each person connects their own.
  • Company-wide (CRM, Slack, Teams): you connect once for everyone.
Microsoft 365Needs your Microsoft Global Administrator, once.
SlackA Slack admin installs the app once.
HubSpotConnect once for the company. Each rep signs in with their own login, so Taylor acts as them, with their permissions.
SalesforceConnect once for the company. Each rep signs in with their own login, so Taylor acts as them, with their permissions.
Where: Integrations, bottom left of the sidebar
  1. Find your CRM, click + and sign in. Allow all the permissions it asks for.
  2. Open the CRM's Tools list. It shows every action Taylor can take. Turn each one on or off for the whole company. Archive and delete actions are off by default.
  3. Connect Slack or Microsoft Teams if your team uses them.
Step 3 · 5 minutes

Recording and visibility

Out of the box, a recording is visible to the person who owns it and to their team leaders.

  1. Add your company's Internal email domains. Grw uses them to tell internal meetings from external ones.
  2. Set Automatic notetaker scheduling. We recommend External meetings only. This is the company default; each person can still change it for themselves.
  3. Decide who can see recordings. Each setting can be None, External meetings only, or All meetings:
    SettingWho can see what
Company-wide recording visibilityEveryone in the company, in a Company tab.
Leaders share recordingsLeaders of the same team see each other's.
Members can see leaders' recordingsMembers see their leaders'.
Members can see other members' recordingsMembers see their teammates'.
  4. On the CRM sync tab, choose what the notetaker writes back: the summary as a deal note, the summary on contacts and company, and the full transcript.
  5. Optional: set a Notetaker display name and background image so the bot joins calls under your brand.
💡
Anyone who wants none of their meetings shared, a CEO for example, can turn on Keep my recordings private by default in their own settings. It overrides everything above. Events marked private in the calendar are always hidden from everyone but the owner.
Step 4 · 3 minutes

Turn on workflows for the whole team

Leaders and admins can turn workflows on for other people, so a whole team gets the same morning prep and post-call follow-up without setting it up one by one.

Where: Workflows in the sidebar › + New Workflow, top right
  1. Click + New Workflow, then Start from an Example, and pick a template.
  2. Under Who is this for? choose My teams, Everyone in the company or Specific people.
  3. Check the schedule and click Turn on. Repeat for other workflows.
💡
A good starting set: Daily Meeting Prep Digest, Post-Call Follow-Up + Coaching and Deal Prioritization. They are described in the Quick start.
Step 5 · 3 minutes

Lock what Taylor can do in each tool

As an admin, you set the rules for how Grw works with each integration across your whole team. Once enforced, those rules apply to everyone and only admins can change them.

Where: Integrations › your CRM or any other app › Admin settings
  1. Open the app and click the Admin settings tab.
  2. Under How these settings apply, select Enforced. Your settings now apply to everybody, and only admins can change them.
After the first week · 2 minutes

See every action Taylor takes

Every action Taylor takes across your team is traceable. The Tool Audit lists each one: which tool, for whom, and when. It is the page to show your security team.

  1. Filter by person or by tool to see, for example, every CRM update Taylor made this week.
  2. To change what Taylor is allowed to do, use the integration's Tools list from step 2.
Optional

Lock things down

Require social loginUnder Settings › Security. Everyone signs in with Google or Microsoft, and password login is switched off.
Lock a setting for the companyMost settings can be locked the same way as tools in step 5: the company value applies to everyone and cannot be overridden. Every change is recorded with who made it and when.
